The goal of our program is to aid individuals in securing residential placement in the community of their choice and to facilitate their participation in community life. The goal is accomplished in conjunction with the individuals’ Circles of Support by developing individualized support plans that truly identify the person’s vision for the future and by employing staff to support individuals in obtaining outcomes toward meeting those visions.

Job Overview

We are seeking a Remote Payroll Mail Dispatcher to join our team The person in this role will coordinate and manage the secure distribution of payroll-related mailings while working remotely. This position suits someone who is organized, reliable, and comfortable working across remote systems to ensure timely and accurate delivery of payroll communications.

Responsibilities

• Coordinate the preparation and dispatch of payroll-related mailings, ensuring accuracy and adherence to schedule.
• Manage mailing lists and verify recipient information to reduce errors and returned mail.
• Work with payroll and HR teams to confirm content and confidentiality requirements before dispatch.
• Arrange with mailing vendors and carriers as needed, track shipments, and resolve delivery issues.
• Maintain records of dispatched items, tracking numbers, and delivery confirmations in relevant systems.
• Monitor postage costs and recommend cost-effective mailing strategies.
• Identify and escalate any compliance, privacy, or security concerns related to payroll mailings.
• Participate in process improvement initiatives to increase accuracy and efficiency of mail operations.
• Communicate regularly with internal stakeholders to provide status updates and resolve problems promptly.

Qualifications

• Proven experience in mailroom operations, dispatch coordination, or a related administrative role; experience with payroll mailings is a plus.
• Strong organizational skills and attention to detail, with a focus on accuracy and confidentiality.
• Comfortable using digital systems to track mailings and maintain documentation.
• Good written and verbal communication skills to coordinate with teams and vendors.
• Ability to manage multiple tasks and deadlines while working remotely.
• Reliable internet access and a suitable home workspace for remote responsibilities.
• High school diploma or equivalent; additional administrative or logistics training is advantageous.
• Must own a Color printer to apply to this position.
