DISTINGUISHING FEATURES OF THE CLASS:

The Police Records Clerk performs responsible and varied clerical, typing, and public contact work involving the receipt, processing, filing, and analysis and reporting of information. Responsible for taking calls from the public and others and processing them for appropriate police action; maintaining complex records; and providing information regarding persons involved in and/or details pertaining to offenses and criminal activities. Considerable care and judgment is exercised in both handling, processing and supplying information to the public, law enforcement agencies or other requestors.

ESSENTIAL FUNCTIONS:

File and maintain departmental records files including police records and reports, computer records, warrant records and other documents in order to provide accurate records for future use using a manual filing system or a microcomputer independently and according to established filing and record keeping procedures.

Complete and process incident, offense, arrest, commitment, referral, accident, intelligence, crime, citation and other police reports in order to forward copies to appropriate personnel; complete reports; and provide a record of processing by checking forms, forwarding and mailing/filing, etc. following established departmental procedures for each form.

Perform data entry function to record pertinent information to be used for future reference using the CAD system and mainframe computer on an on-going basis with speed and accuracy.

Type reports, requisitions, and other clerical forms to provide error-free final copies independently for review by supervisor.

Perform other related duties as assigned.

REQUIRED KNOWLEDGE, SKILL, AND ABILITY:

Considerable knowledge of business English, spelling and punctuation.

Considerable knowledge of proper police procedures including confidentiality of information and privacy and security laws for processing of requests for information.

Considerable knowledge of record keeping procedures and forms used in the police department.

Knowledge of modern office procedures and equipment.

Ability to file and maintain office records for easy retrieval of information.

Ability to establish and maintain effective working relationships with other employees, Community officials, and the public.

Ability to perform all physical requirements of the position; agree to maintain a Drug-Free workplace.

REQUIRED EXPERIENCE AND TRAINING:

High School diploma or GED and a minimum of one (1) year of increasingly responsible clerical experience involving extensive public contact, preferably in a law enforcement environment or any equivalent combination of experience and training which provides the required knowledge, skill and abilities.

ADDITIONAL REQUIREMENT:

Required to pass a background check and fingerprint clearance as a condition of employment and must continue to maintain throughout duration of employment.
