Job Description



We are seeking a highly organized and professional Medical Receptionist/Scheduler to join our Integrated Dermatology practice. The ideal candidate will serve as the first point of contact for patients, providing exceptional customer service while managing administrative tasks efficiently. This role requires familiarity with electronic health records (EHR) systems, medical terminology, and scheduling appointments for all providers in the practice. Experience with various EMR systems is highly desirable. Medical office experience is preferred to enhance patient communication and support diverse patient needs.

Job Description

  • Greeting Patients : Ensuring a warm and welcoming environment for patients as they arrive at the medical facility. Check-in and check-out patients; provide smooth patient flow; utilize excellent customer service skills. Collecting co-pays and past due patient balances.
  • Scheduling Appointments : Manage the appointment calendar by scheduling, rescheduling and canceling patient appointments, confirming appointments, validating insurance referrals, scheduling appointments specifically tailored to each provider in EHR.
  • Handling Communications : Answering multi-phone system lines, handling general patient inquiries, tasking voicemail messages as scheduled in assignment rotation, corresponding with other staff members, providers and practice manager in a positive professional manner, excellent communication skills a must.
  • Managing Patient Records : Maintain accurate and up-to-date patient records in EHR, ensuring confidentiality and privacy, including HIPPA and OSHA guidelines, scanning documents into our electronic medical record health system, collecting co-pays and balances, updating patient demographic and insurance information as needed, verify insurance eligibility using online portals.
  • Administrative Duties : Perform clerical tasks, precise attention to detail, scanning documents into EHR, tasking eFax and referral queue rotation, inventory office supplies and provide other general administrative duties as needed by practice.
  • Organizational Abilities : Strong organizational skills to manage multiple tasks, keep working environment clean and organized. Able to perform successfully under pressure during high patient volume and demand.
  • Technical Proficiency : Familiarity with utilizing electronic medical health record systems and basic computer software.

Qualifications

  • Proficiency in EMR/EHR systems or similar platforms.
  • Strong knowledge of medical terminology, insurance coordination
  • Experience with insurance verification processes and RTE (real time eligibility).
  • Excellent organizational skills with attention to detail in documentation review and data entry.
  • Effective communication skills with professional phone etiquette and a compassionate point of view.
  • Familiarity with medical office system software.
  • Competency in Microsoft Office Suite (Word, Excel, Search Engine) and basic computer skills for administrative support tasks.
  • Ability to handle multiple priorities efficiently in a fast-paced healthcare environment.
  • Prior medical office experience is preferred to ensure seamless integration into our team.
