Job Description

The Practice Administrator is responsible for overseeing daily operations, staff supervision, financial management, human resources, compliance, and patient billing activities for a multi-provider medical practice. This role serves as the primary liaison between providers and staff while ensuring operational efficiency, regulatory compliance, and a positive workplace environment. Key Responsibilities Practice Operations & Supervision Plan, organize, and oversee daily operations for multiple office locations Supervise staff schedules, PTO, sick time, and vacation tracking Order office supplies and medical injectables on a recurring basis Schedule and lead staff meetings (quarterly) and provider meetings (monthly) Coordinate compliance training and annual HIPAA/OSHA reviews Maintain safety and compliance documentation Manage vendor relationships (cleaning, laundry, maintenance, etc.) Coordinate building‑related maintenance with property management Implement and maintain continuous quality improvement initiatives Ensure compliance with all federal and state regulations Prepare and submit annual quality reporting (MIPS) Delegate responsibilities based on staff skill sets and experience Financial Management & Bookkeeping Manage daily banking activity and weekly deposits Reconcile bank statements in coordination with CPA Maintain and manage accounting software (QuickBooks or similar) Post daily financial reports and deposits Process vendor invoices and prepare checks for payment Review timekeeping records and submit payroll Reconcile cash drawers and investigate discrepancies Track returned checks and patient notifications Verify ACH deposits including insurance and rebate payments Human Resources Maintain confidential personnel records Assist with hiring, onboarding, credentialing, and terminations Conduct annual performance evaluations Track and approve employee PTO balances Develop and maintain office policies and procedures Address employee concerns and foster a positive work environment Ensure staff and provider certifications remain current (e.g., CPR) Meetings & Professional Engagement Prepare for and attend monthly provider meetings Coordinate meetings with consultants, advisors, and vendors Organize and lead quarterly staff meetings Attend professional conferences, seminars, and industry events Insurance & Patient Billing Oversee daily insurance payment posting and charge entry Manage daily, month‑end, and close‑out billing procedures Track and follow up on unpaid or delinquent claims Resolve complex insurance and patient billing issues Ensure accurate patient demographic and insurance data entry Maintain and update insurance fee schedules annually Manage payer contracts and credentialing renewals Coordinate insurance authorizations for high‑cost procedures Communicate patient financial responsibility and payment plans Additional Responsibilities Coordinate IT support and office technology maintenance Manage medical record storage and retrieval Provide front desk coverage as needed Maintain procedure and diagnosis codes annually Act as liaison between providers and staff Update and maintain website and advertising listings Perform additional duties as assigned Systems & Experience Practice Management / EMR Systems (e.g., NextGen or similar) Accounting Software (QuickBooks or similar) Payroll Systems Microsoft Office Suite MIPS / Quality Reporting Platforms Provider credentialing and payer contracting HIPAA and OSHA compliance Qualifications Associate or Bachelor's Degree preferred Minimum 2 years of experience in a medical or clinical setting 2+ years of healthcare or practice management experience Experience with billing, payroll, scheduling, and insurance claims Provider credentialing and fee negotiation experience preferred Strong organizational, leadership, and communication skills Schedule & Location Schedule: Monday-Thursday: 8:00 AM - 5:00 PM Friday: 8:00 AM - 1:00 PM (every other week) Location: Onsite | Rock Hill, SC area Beacon Hill is an equal opportunity employer and individuals with disabilities and/or protected veterans are encouraged to apply.
