Who we are and why you want to join our mission:

Our history with NFPA 1582, originated when Division Chief, Tamara (Tammy) Lopes introduced us to NFPA 1582 medical examinations over 11 years ago. Our sister organization, ARC Health & Wellness (based only in Nevada) was awarded a contract with the City of Reno to conduct these specialized Medical Examinations on their Firefighters. Chief Lopes insisted that our Physicians understand what Firefighters go through, including 24 hour ride-a-longs, that we suit up in Turnouts/SCBA and conduct Fire Suppression Duties in Fire Chambers. But most importantly, Chief Lopes help mold our organization to be focused on NFPA 1582 in determining Fitness for Duty and helping to prolong the career of their Industrial Athletes. Tammy Lopes is still actively part of the NFPA 1582 Committee, she continues to help write new NFPA 1582 and her name is listed in 2018 Edition of NFPA 1582.

ARC Health & Wellness has worked with Firefighters for over a decade and we have refined our skills and abilities to conduct a thorough NFPA 1582 Compliant Medical Exam in both in a Medical Facility and “Onsite” in an affordable manner. Fire Departments throughout the region, such as Las Vegas Fire and Rescue and North Las Vegas Fire Department have brought our organization in to so they can have “Onsite” medical clinics on their property. Other groups, rely on our experience to travel to them with our Mobile Medical Units to conduct NFPA 1582 exams “Onsite” like Kingman Fire Department in Arizona or South Lake Tahoe Fire Department in California. Most importantly, we still serve every Fire Departments that started working with us and we’ve never lost a Fire Department client.

The Medical Office Manager position is a critical role for the medical practice. This position supports a wide range of functions by providing front line response, oversight of daily non-clinical practice operations, and the patient flow of the designated practice. The Medical Office Manager engages in leadership decisions to ensure the continued delivery of high-quality patient care and engagement while maintaining a state of profitability and growth, and compliance with government regulations. This position is responsible for the management of office administrative personnel and engagement with office medical staff personnel and works closely with the leadership of ARC/1582 Medical corporation. In addition, this position will perform quality assurance and assist all departments with their processes.

Requirements Education/Experience

Requirements include a bachelor's degree in health care administration, business administration, or a related field, a minimum of 3 years of experience, 1 year in a supervisory or management position, and excellent communication and people skills. Preference will go to candidates with over 6 years of experience, knowledge, understanding of HIPAA and labor law.

Duties and responsibilities include the following. Other duties may be assigned.

Office Management:
· Responsible for the day-to-day operations of our medical practice, managing corporate office staff, assessing work flows and re-assigning staff roles as determined by current corporate needs.
· Supervises and ensures adherence to company culture, policies, procedures, and standards regarding quality assurance, customer service, productivity, confidentiality, data entry, record retention, charting, and the physical facility.
· Maintains efficient patient care practices through a team approach by planning and implementing customer and staff scheduling in conjunction with leadership.
· Oversees appropriate scheduling of customer visits and smooth, efficient clinic/mobile event flow to maintain optimal practice operation.
· Develops expertise with EMR, leads updates on EMR changes, coordinating staff education
· Accountable for internal and external customer service, including troubleshooting when there is a complaint, and proactive process improvement address.
· Develops and maintains productive relationships through effective and timely communication.
· Responsible for holding staff accountable for data accuracy and productivity, efficient workflow, measuring indicators and analyzing processes to improve practice performance.
· Assists in the recruitment, onboarding, performance evaluation, and offboarding process of staff to build and maintain a high-performing team.
· Ensures compliance with HIPAA, OSHA, labor laws, and confidentiality policies in dealing with customers and staff.
· Coordinates internal and external meetings and conference attendance.
· Analyzes data from practice to evaluate trends in growth and productivity
· Recommends and develops new approaches, policies, and procedures to continually improve the efficiency of the practice and the services performed while maintaining a high level of patient satisfaction.
