Our client, a respected and growing commercial general contractor, is seeking an experienced Contract Administrator to support contract administration, compliance, document management, and project controls across a portfolio of commercial construction projects.

Position Overview

The Contract Administrator will oversee the day-to-day administration of construction-related agreements and documentation, supporting project teams throughout the lifecycle of each project.

Working closely with Operations, Project Management, Accounting, subcontractors, vendors, and leadership, this role ensures contract documentation, compliance records, insurance information, and project closeout materials remain complete, accurate, and organized.

Key Responsibilities

  • Prepare, organize, route, and track subcontracts, purchase orders, change orders, amendments, and other construction-related agreements.
  • Maintain contract logs, compliance trackers, executed agreements, subcontractor records, and project documentation.
  • Coordinate certificates of insurance (COIs), bonds, lien releases, warranties, and closeout documentation.
  • Monitor insurance expirations, compliance deadlines, and required project documentation.
  • Collaborate with Project Managers, Accounting, subcontractors, vendors, and internal teams to ensure timely completion of contract requirements.
  • Support change order documentation, notice tracking, project closeout, warranty documentation, and document retention.
  • Identify missing documentation, expired compliance items, or contract discrepancies and communicate issues promptly.
  • Maintain accurate electronic records and ensure document organization throughout the project lifecycle.
  • Support continuous improvement of contract administration processes and document control procedures.

Qualifications

  • Minimum of 3 years of experience in construction contract administration, subcontract administration, project administration, or a related construction support role.
  • Experience working for a commercial general contractor, construction management firm, or developer is strongly preferred.
  • Working knowledge of subcontracts, purchase orders, change orders, certificates of insurance, lien releases, compliance tracking, and project closeout documentation.
  • Strong organizational skills with exceptional attention to detail.
  • Ability to manage multiple priorities while meeting deadlines.
  • Excellent written and verbal communication skills.
  • Proficiency with Microsoft Office Suite, Adobe Acrobat/PDF workflows, and document management systems.
  • Experience with Bluebeam, Procore, or similar construction management software is preferred.
  • Bilingual English/Spanish is a plus.
